Sample Compliance Export

What this output is

The compliance export is a CSV version of the training compliance matrix. It contains the same cross-reference of team members against document versions with acknowledgment status in each cell, but in a flat tabular format designed for data processing rather than visual review. Each row represents a team member, and each column after the identifying fields represents a document version with its status.

When your team uses it

Use the compliance export when you need to import training status data into another system (QMS, ERP, or compliance platform), when building custom reports or dashboards in Excel or Google Sheets, when performing trend analysis across multiple export snapshots over time, or when your quality system requires training data in a specific format that you can transform from the CSV.

Key fields and sections

• Team member name and email address (row identifiers)
• Document title and version number (column headers)
• Cell values: Acknowledged (with UTC timestamp), Pending, Overdue, or Not Assigned

What it proves to an auditor

The compliance export proves the same thing as the PDF compliance matrix — the training posture of your organization at a point in time — but in a format that supports independent verification and analysis. An auditor or quality manager can open the CSV, sort by status to find overdue items, filter by person or document, and confirm that training obligations are being tracked systematically.

How ApprovaDoc generates it

In ApprovaDoc, navigate to Reports and select Compliance Matrix, then choose CSV as the export format. The system cross-references all active assignments against the immutable acknowledgment records and outputs the result as a standard CSV file. You can apply the same filters (team, document, status) as the PDF export before downloading.
