Sample Compliance Matrix

What this output is

A compliance matrix (also called a training matrix) is a cross-reference grid showing every team member against every assigned document version. Each cell shows the acknowledgment status: Acknowledged with the completion timestamp, Pending if still within the due date, Overdue if past due, or Not Assigned if the document was not assigned to that person. It is the single most requested document in training audits.

When your team uses it

Generate a compliance matrix before any internal or external audit to demonstrate training status across your organization. Use it during management reviews to identify gaps, before product releases to confirm all required training is complete, or on a regular cadence (monthly or quarterly) to track progress. Auditors often ask for this view first because it immediately shows whether training obligations are being met.

Key fields and sections

• Team member names (rows) with email addresses
• Document titles and version numbers (columns)
• Cell status: Acknowledged (with UTC timestamp), Pending, Overdue, or Not Assigned
• Summary statistics: total acknowledged, total pending, total overdue
